Terms and Conditions – FIT (Free Independent Travelers) & Group Packages
These Terms and Conditions apply to all travel services provided by TripCircle Group Travel Services Ltd. (“the
Company”) whether for FIT (Free Independent Travelers) or Group Packages, regardless of booking channel (online,
in-person, through affiliates). By making a booking and/or payment, the client (“Passenger” or “Traveler”) confirms
acceptance of these Terms.
1. Booking, Payment & Confirmation. Full payment is generally required to confirm all bookings. A downpayment option may be
granted only upon the Company’s approval and will be computed and advised based on the package, supplier requirements, and travel
dates. Any approved downpayment is non-refundable and must be settled within the period advised by the Company. Remaining
balance must be paid in full no later than forty-five (45) calendar days from booking confirmation or by the due date stated in the
invoice, whichever comes first. Failure to complete payment will result in automatic cancellation and forfeiture of all amounts paid.
Bookings are only final and confirmed when full payment is received and an Official Confirmation is issued by the Company. Prices are
subject to change without prior notice due to currency fluctuations, airfare surcharges, government tax changes, or third-party cost
adjustments. Any resulting increase must be settled before departure.
2. Cancellation Policy. The Company reserves the right to cancel any booking at its sole discretion due to: Non-payment,
Operational or supplier issues, Safety or compliance concerns, Minimum group size not met, Force majeure or other circumstances
beyond control. In such cases, any refund will be limited to recoverable amounts from suppliers and subject to their timelines.
3. Travel Documents. The Company will issue airline tickets, hotel vouchers, and other travel documents within the ticket issuance
window set by the Company, typically close to the departure date. Early issuance requests may be accommodated only if supplier
policies allow and may incur additional fees. Issued tickets are subject to airline and supplier rebooking or refund rules.
4. Visa & Travel Documentation. Passengers are responsible for ensuring passports, visas, and travel documents are valid for the
entire travel period. The Company does not guarantee visa approval and is not liable for delays, denials, or additional embassy
requirements. No refund or rebooking will be granted if travel is disrupted due to visa denial, incomplete documentation, or
immigration issues.
5. FIT vs. Group Package Conditions. FIT Bookings – May allow date changes, subject to supplier rules and change fees. Group
Packages – Have fixed itineraries, fixed travel dates, and minimum participant requirements. The Company reserves the right to
reschedule or cancel if these requirements are not met.
6. Services Operated by Third-Party Providers. The Company acts solely as a booking and organizing agent for airlines, hotels,
transport providers, and tour operators. Final arrangements are subject to the terms and conditions of the third-party provider. The
Company is not responsible for changes, delays, or service issues beyond its control. Refund timelines and amounts depend entirely on
supplier policies.
7. Cancellations, Amendments & Refunds. The Company may adjust, reroute, or cancel travel arrangements due to unforeseen
events. Refund processing may take up to six (6) months or longer, depending on supplier timelines. The exact refund release date will
be determined by the Company based on financial, operational, and supplier constraints. Refunds will be made only to the original
payer via the original payment method unless otherwise agreed in writing. No refunds for: No-shows or unused services, Early
check-outs, Immigration denials or offloading, Voluntary cancellations after payment deadlines, Partial use or abandonment of services
8. Immigration & Denied Entry. Passengers denied boarding or entry for any reason (legal, procedural, or personal) are not
entitled to refunds or rebooking. All associated costs, including service fees, are non-refundable.
9. Conduct & Responsibilities. Passengers must comply with all tour schedules, safety instructions, and regulations. The Company
reserves the right to remove any participant whose conduct is unsafe, disruptive, or disrespectful. Passengers are liable for any damage
to property or third-party equipment.
10. Travel Insurance & Liability Waiver. Comprehensive travel insurance is strongly recommended to cover medical
emergencies, cancellations, delays, and loss of property. Participation in the tour constitutes a waiver of liability against the Company
for events beyond its control.
11. Force Majeure. The Company is not liable for delays, changes, or cancellations caused by: Natural disasters, Strikes or labor
disputes, Government restrictions, Epidemics or pandemics, Airline or transport disruptions, Any additional costs from such events
will be borne by the traveler.
12. Official Communications. Only written communications sent through the Company’s official email or registered
communication platforms are binding. Verbal, phone, or social media communications are not binding unless confirmed in writing.
13. Affiliates & Agents. Only officially issued documents and receipts from the Company are recognized. The Company is not
responsible for promises made by unauthorized parties.
14. Data Privacy. The Company collects personal information solely for booking purposes and shares it only with relevant third
parties to facilitate travel. All data is handled in compliance with applicable privacy laws.
15. Amendments to Terms. The Company may update these Terms without prior notice.
16. Grievance & Legal Resolution. All concerns must be submitted in writing to the Company’s official email. The Company will
attempt to resolve disputes amicably. Legal jurisdiction shall be in the City of Malolos, Republic of the Philippines, and governed by
Philippine laws.
